How MACFiX uses your information.

A plain-English explanation of the personal information MACFiX collects, why we need it, who helps us process it, and the choices and rights you have.

What information we collect

Depending on how you use MACFiX, we may collect:

  • your name, email address, phone number and other contact details;
  • device details such as type, brand, model, serial/IMEI, condition, reported faults and accessories;
  • repair records, customer communications, customer-safe status updates, parts/work evidence, quotations, invoices and payment records;
  • an unlock passcode where it is genuinely needed to test or repair a device;
  • optional photographs or other repair evidence you choose to provide;
  • trade-in details, inspection information, offers and completed purchase/resale records;
  • marketing preference and consent/withdrawal evidence where relevant;
  • reviews that MACFiX stores or deliberately republishes; and
  • limited technical, security, routing and abuse-prevention information needed to operate the website and communications safely; and
  • when you submit a website enquiry, a limited first-party acquisition snapshot such as the source category, external referrer hostname, first MACFiX page visited, page where the quote journey began and any campaign tags supplied in the MACFiX link.

Why we use it and our lawful bases

We only use personal information for a defined business purpose. Our main UK-GDPR lawful bases are:

  • Steps at your request / contract: handling a repair or trade-in enquiry, booking work, communicating about it, carrying out the service and dealing with payment or collection.
  • Legal obligation: keeping information where accounting, tax or another legal requirement applies.
  • Legitimate interests: running and securing MACFiX, preventing duplicate/fraudulent activity, maintaining accurate operational history, resolving complaints or disputes and defending legal claims, where those interests are not overridden by your rights.
  • Consent: optional marketing where MACFiX specifically asks for consent. Sending a repair or trade-in enquiry does not sign you up to marketing.

If we rely on consent, you can withdraw it at any time. If we rely on legitimate interests, you can object to that processing and we will consider your circumstances.

Repair photos, device access and sensitive information

Optional website repair photos are uploaded to private storage only after your enquiry has been saved. Staff access is controlled and temporary access links are short-lived.

If a device unlock passcode is genuinely required during a repair, it is treated as short-lived operational information and MACFiX clears it after authoritative delivery/collection evidence is recorded. Please do not put passwords, account credentials, bank details or other unnecessary sensitive information into enquiry text, uploaded photos or the AI Assistant.

Secure repair tracking

The public tracker does not provide repair information from a Ticket number alone. You must also verify the email address or phone number used when the repair was booked.

After successful verification, the tracker returns a deliberately limited customer-safe view. Internal notes, staff-only evidence, passcodes, private communications and other operational fields are not part of the public tracker response.

MACFiX AI Assistant

When the Assistant is enabled, your latest message and a bounded recent conversation context are supplied through Base44's AI/LLM integration so a reply can be generated.

Assistant messages are not added to your MACFiX Customer record and MACFiX does not retain chat transcripts for Assistant analytics. Limited pseudonymous daily usage evidence may be kept for abuse/rate-limit protection and is currently subject to a 30-day retention rule.

Who we share information with

MACFiX uses service providers to run the application and communications. Depending on the interaction, this can include:

  • Base44 for application hosting/backend services, private file storage and the AI integration used by the Assistant;
  • Resend for outbound operational email; and
  • Twilio SendGrid for inbound email/webhook processing.

We may also disclose information where required by law, or where reasonably necessary for a legal claim, complaint, fraud/security matter or authorised law-enforcement request.

Links to services such as WhatsApp, Google Maps or third-party review platforms are customer-initiated external links. Once you leave MACFiX, that provider's own privacy terms apply.

International processing, cookies and device storage

Some technology providers may use infrastructure outside the UK. Where UK personal information is transferred internationally, MACFiX expects an applicable UK transfer mechanism or other lawful safeguard to be used. Contact us if you need more information about safeguards relevant to your data.

The public MACFiX site uses limited device storage needed for functionality, such as remembering your light/dark theme and platform security/session functions. MACFiX does not run advertising pixels, build cross-site advertising profiles or assign an analytics visitor ID.

For acquisition measurement, the public site keeps a small attribution context in memory for the current page visit. If you submit an enquiry, MACFiX may save that bounded snapshot against the resulting Lead so we can understand which MACFiX pages, referrals or campaign links generate repair enquiries and later business outcomes. We do not retain a full browsing history for this purpose, and the acquisition snapshot does not include a stored IP address, browser fingerprint, advertising click ID or full external referrer URL.

Because the current acquisition context is memory-only until an enquiry is submitted and MACFiX is not setting non-essential advertising or behavioural-tracking storage for this feature, we do not show a consent banner purely for appearance. If MACFiX later introduces tracking storage, advertising pixels or individual visitor profiling, this notice and the consent mechanism will be updated before that processing is enabled.

How long we keep information

MACFiX uses purpose-specific retention rather than deleting every record after one blanket period.

  • Device passcodes are cleared after delivery/collection evidence is established.
  • Pseudonymous Assistant rate-limit usage is currently kept for 30 days.
  • Routine inbound-email diagnostics created under the current retention policy are intended to be short-lived, generally 90 days for successful processing and longer where an error/security investigation needs evidence. Older legacy diagnostics are separately reviewed rather than automatically deleted.
  • Temporary test/cleanup plans and duplicate quarantine content are removed or compacted once their operational job is complete.
  • Repair, invoice, payment, completed trade-in and other core commercial records may need to be kept for several years for accounting, warranty, complaint, dispute and legal-claims purposes.
  • Unsuccessful enquiries, optional private evidence and other non-core records are reviewed against the purpose they were collected for and any legal hold before deletion or anonymisation.
  • Minimal suppression evidence may be retained after a marketing opt-out so MACFiX can continue to respect the instruction not to contact you for marketing.

A complaint, chargeback, legal dispute, insurance matter, police request or privacy request may place relevant records under a retention hold so evidence is not destroyed while the matter remains active.

Your data-protection rights

Depending on the processing and lawful basis, you may have rights to ask MACFiX for access to your personal information, correction, erasure, restriction, portability or to object to particular processing. These rights are not absolute; for example, MACFiX may need to retain some transaction or repair evidence for legal, accounting or claims purposes.

Your right to object: you can object to processing based on legitimate interests. You can also object to direct marketing at any time; where direct marketing is involved, MACFiX will stop using your information for that purpose.

If processing relies on consent, you can withdraw that consent at any time without affecting processing already carried out lawfully before withdrawal.

Reviews, security and privacy requests

Only deliberately published/selected reviews are shown on MACFiX public surfaces. If a review identifying you is being showcased and you would like it removed, contact us.

MACFiX uses role-based access controls, managed backend authority, private storage for customer evidence, bounded public data responses and retention controls to reduce unnecessary access and duplicate storage.

To ask what information MACFiX holds, request a correction, raise an objection or make another privacy request, email info@macfix.uk or contact us using the details at the top of this notice. We may need to verify your identity before disclosing or changing personal information.
